BoConcept goes for Microsoft Office 365

BoConcept wanted to replace their old Lotus Notes platform with e-mail and calendar in a new user-friendly and cost saving cloud based platform that would be applicable in the company’s approximately 260 stores across 60 countries.

BoConcept first started as a small furniture factory in 1952 but today, they are a globally represented and publicly listed furniture company with a turnover of more than one billion Danish kroners and approximately 260 franchises in 60 countries. The company is focused on high quality designer products.

From Lotus Notes to Office 365

BoConcept wanted to replace their old Lotus Notes platform with e-mail and calendar in a new user-friendly and cost saving cloud based platform that would be applicable in the company’s approximately 260 stores across 60 countries.

They chose Microsofts Cloud Services package Office 365 that includes both Exchange Online for e-mails and calendar, Lync Online for instant messaging and video conferences and SharePoint Online for general knowledge sharing and collaboration.

Brian Lie Jørgensen says: “Our business philosophy is quite practical and this is also reflected in our IT-strategy, which is aimed at – to the extent possible – only having products from one IT supplier. We chose Microsoft, and so it was obvious to assess their Cloud offerings when our stores had to replace their old Notes-based system with a new e-mail solution. The decision was only made easier when we heard of all the positive experience that many other companies have had with Office 365.

BoConcept allied with ProActive, and they drafted a schedule for the process, recommended migrating tools and trained the IT staff that had to deploy Office 365 in the organization.

The Head of IT says: “ProActive had clearly done this before and at this point we migrated the 25 stores in Germany without any complications. In fact, the greatest challenge is to schedule a date where the stores can allocate the time to migrate their data.”

He expects that Office 365 is fully deployed in all the BoConcept stores, and thus approximately 1.500 employees, mid 2013.

Easy user administration and free of charge for hardware and maintenance

Brian Lie Jørgensen says: “Administratively, it’s a huge advantage that it only takes a couple of minutes to create or change any user account. At the same time we don’t have to think about buying hardware and maintenance, and these factors will most defiantly save us some time.”

According to Brian Lie Jørgensen, the operation has worked perfectly from day one without any kind of problems. In the stores they are very pleased with the new e-mail solution and especially the fact that there is immediate mail access from any laptop or mobile device.

Video chat with Lync shall improve customer service

Brian explains: “At first we will focus on the e-mail part of the solution. But I see great perspective in using Lync to improve our customer service. All things equal, it’s easier to have video chat with the store staff where you can show exactly how to assemble any given furniture instead of sending pictures back and forth as we do today.”
